Meeting Minutes June 25, 2024
- In attendance: Robert Fanfant, Adam Blackmer, Robin Amundson, Dennis Kourkoumelis, Marv Shelton, Justin Mcallister, Jack Prendergast, Rich Stempien
- Minutes of the last board meeting previously submitted by Tom Sykes were approved, Adam KC7EDX motioning for approval and Rob N7QT seconding.
- Discussed and voted on request by Hal Turley W8HC for funding contribution to his DXpedition to Rotuma in December 2024, 3D2Z, to include youth operators. The board approved a $100 contribution of support.
- Discussed and voted affirmatively to renew the registration for N7DX.net
- The Treasurer report was presented. There was discussion about the upcoming PNW DX Convention financials. Currently, hotel bookings are for 108 room nights out of the 150 room-night block. At a contract liability exposure of 90% of the 150-room total, the hotel’s most current estimate of our liability for unsold rooms to date is $5,022. Fourteen new two-night bookings would eliminate the club’s liability. Each board member is responsible for reaching out to identified prospects to get them registered for the convention and signed up for a hotel room.
- There are currently 99 convention registrations.
- It was noted the website will not have an announcement of the 2025 convention until after the 2024 convention concludes. The convention brochure handed out to attendees will have an announcement of the 2025 convention.
- The Early Bird Convention rate will be extended to July 9, matching the last date the convention block price will be held by the hotel.
- Ideas to recruit attendees were discussed. A decision was made to add a Friday block of four 30-minute “How to Get Started” presentations from 3 p.m. to 5 p.m. The topics in presentation order will be: POTA, SOTA, DXing, Contesting. In addition, the Fireside Chat DXpedition topic was discussed for 7 p.m. Friday. Jeff W7BRS was asked to be one of the chat leaders, replying affirmatively after the meeting. Another club DXpeditioner, Mike Mraz, will be asked to join Jeff.
- Robin is tasked with composing an urgent call to action email to WWDXC members that can be duplicated by other board members to send to other clubs. The email shall include announcement of extension of Early Bird registration through July 9 to match the hotel room block expiration date, encouragement to register for the convention and hotel and information about the new Friday schedule and special Friday-only $35 pricing. The board’s intent is to encourage people interested in getting started to attend at an affordable price and possibly entice them to pay the full price difference less the $35 for continuing on Saturday.
- Rich is tasked with clarifying with the hotel whether our obligation for rooms unsold before July 10 subsequently sold to convention attendees at regular prices will reduce our contract liability.
- It was emphasized that every board member has the responsibility for disseminating convention advertising and personally reaching out to individuals to persuade them to attend the convention. This includes phone calls, emails, letters on various club groups.io and etc.
- There was no discussion on old business regarding donations by DX Engineering or additional vendor participants.
